Alternative

The Notion AI alternative for business owners

Notion AI is excellent when your business already lives in Notion. Outside the workspace, its agents read more than they act: no quote sent, no invoice chased, and full AI is reserved for the Business plan, credits on top. Here is what the AIOS fills, point by point.

Notion (founded in 2013 by Ivan Zhao and Simon Last, in San Francisco) has become the reference workspace for millions of teams, and Notion AI is the intelligence layer sitting on top of it. Since version 3.0, announced in September 2025, agents run multi-step tasks inside Notion, update whole databases and pull context from connected sources such as Slack, Google Drive or GitHub. On its own ground, searching, writing and summarising across your own pages, it is as good as it gets.

Its limits come down to three documented findings. First the perimeter: agents read a lot but write little outside Notion; they can search Slack without replying there, and the one real external write action is sending email. Nobody in there will issue your invoice. Then the price: full AI is reserved for the Business plan (around 20 dollars per seat per month on annual billing) and above, and since May 2026 custom agents consume additionally billed credits, around 10 dollars per 1,000 monthly credits, a cost that varies with usage. Finally the hosting: US by default, with European data residency reserved for the Enterprise plan.

The AIOS is the alternative that starts from the other end: it does not wait for your work to be tidied into a workspace. It plugs into your inbox, your quotes, your invoices and your clients, builds a persistent company memory, and acts. Installed on a dedicated server in France, configured by our team during the 7-day free trial, for a fixed monthly subscription.

Point by point

The limits of Notion AI, and how the AIOS fills them

1It only works where Notion can see

Notion agents search, write and update databases inside the workspace and its connected sources. They do not chase the unpaid invoice, publish your content or run your inbox. The AIOS acts where your work actually lives: it reads the incoming email, produces the quote, sends it, follows up, issues the invoice and publishes, without requiring your information to be tidied anywhere first.

Try"Reply to the latest client email and prepare the matching quote". The work goes out, it does not wait in a page.
2The prerequisite: that your business already lives in Notion

Notion AI is worth exactly as much as what you have put into Notion. If your information sits in your email, your PDFs and your head, the prerequisite is to build a workspace and move your business into it: a project in its own right, which someone must run and then maintain. The AIOS has no such prerequisite: it plugs into your current tools as they are and builds its own company memory over the following weeks.

Try"Give me a summary of what you know about my business", without having tidied anything first.
3Agents that read a lot, but write little outside Notion

Even on connected sources, the asymmetry is documented: an agent can search Slack but not reply there, surface a ticket but not reassign it; the one real external write action is sending email. And there is no native invoicing: producing an invoice means a page template plus third-party automation. The AIOS writes to your real tools: it sends the quote, follows up with the client, issues the invoice and publishes your content.

Try"Issue the invoice for the job delivered yesterday and send it to the client". It is done, not simulated.
4Full AI is reserved for the higher plans, with credits on top

Full AI features start with the Business plan, around 20 dollars per seat per month on annual billing, and since May 2026 custom agents consume additionally billed credits, around 10 dollars per 1,000 monthly credits, proportional to the complexity of each run. The cost therefore grows with headcount and with usage. The AIOS is billed as one fixed monthly subscription per company, not per seat or per consumption, with a 7-day free trial.

5The structuring and supervision work stays with you

Getting an intelligent workspace to produce means someone structures the pages and databases, writes the agents, tests their output and watches the credit consumption. That is a role, not a setting. With the AIOS, that role is held by our team: it configures your use cases with you during the trial, in your language, and stays reachable afterwards to adjust.

During the trialdescribe a process to delegate, a human from the team sets it up with you.
6Your data in shared American cloud

Notion's default hosting is in the United States, and European data residency is reserved for the Enterprise plan, through sales: the Business plan does not include it. Zero data retention with the model providers is also Enterprise-only; on other plans the vendor states a 30-day retention. The AIOS is installed on a server dedicated to your company alone, hosted in France: your documents, your history and your company memory never sit alongside another client's.

When to choose what

When to choose Notion AI

  • Your team already lives in Notion: wikis, projects, databases, meeting notes, it is all in there
  • What you need first is to find and synthesise internal knowledge, not to get work executed on the outside
  • Somebody on your side enjoys structuring the workspace and building agents, and has the time to do it

When to choose the AIOS Recommended

  • Your information is not tidy: it is in the inbox, the PDFs, the text messages and your head
  • You want the job done and sent out, not merely found and summarised
  • You would rather have a fixed monthly cost, a server in France and a team that configures everything for you
Our verdict
Why the AIOS rather than Notion AI? Because an owner whose business fits into an inbox, a stack of quotes and a phone has no Notion workspace to query, and no appetite for building one first. Notion AI remains the obvious call if Notion is already the brain of your company. The AIOS works on reality as it stands: it acts on your email, your quotes and your clients, remembers everything from one week to the next, and costs one fixed subscription rather than a per-seat price plus credits.

Frequently asked questions

Your questions, our answers.

What is the best Notion AI alternative?

If you are looking for another AI layer on top of a workspace, the competing office suites offer their equivalents, with the same perimeter limits. If what you want is an assistant that acts on your real business, email, quotes, invoices, follow-ups, without requiring everything to be tidied first, the AIOS is the most direct alternative: persistent company memory, dedicated server in France, human team, fixed subscription, and a 7-day free trial to verify it.

I do not use Notion, can this still be of interest?

Notion AI is worth exactly as much as what you have put into Notion: it is an intelligence layer over your workspace. If you do not have one, the prerequisite is to build that workspace and move your information into it, which is a project in its own right. The AIOS has no such prerequisite: it plugs into your mail, your documents and your current tools, and builds its own company memory over the following weeks.

Do Notion agents not already do the work for me?

They do a great deal, within their perimeter. A Notion agent is very good at updating fifty rows of a database, producing a synthesis from your pages or preparing meeting notes. What it does not do is carry the relationship with your clients outside Notion: answering the incoming email, following up last week's quote, publishing, calling a supplier back. That is precisely the ground the AIOS covers.

Can the two be used together?

Yes, and it is common. Notion stays your knowledge base and your project management, the AIOS works around it: it reads what it needs from your documents, produces and sends what has to go out, and can drop its reports where your team already reads them. They do not tread on each other, they handle different halves of the job.
