Write and send your quotes the same evening as the site visit

A quote that goes out within hours of the visit gets signed far more often than one that lands a week later. An AIOS turns your on-site brief into a priced quote, ready to review and send.

In construction, the quote that goes out fast is the quote that gets signed. The client who had you round for a measure-up has often called two or three other firms the same week: whoever sends a clear proposal within 48 hours pulls ahead, the rest look like the ones who never get back to you. Yet the quote gets written in the evening, after the day on site, when the energy is gone.

An AIOS turns your site-visit brief into a structured quote: you dictate the line items (area, work, materials, access constraints), it prices them against your usual rates, applies the right VAT and hands you a document ready to review. What used to take a whole evening is settled in ten minutes, between two jobs.

The problem

  • The quote gets written at night or at the weekend, once the working day on site is already over
  • Copying out the measurements, digging up supplier prices and reformatting takes longer than the visit itself
  • A quote that drags for a week is a job that goes to the quicker competitor
  • When you are tired, pricing mistakes and forgotten items eat into your margin

How the AIOS handles it

You dictate the brief from the site

As you leave the measure-up, you send a voice note or a few lines: type of work, areas, tasks, likely materials, access constraints. The AIOS understands the trade vocabulary and keeps everything you dictate.

It prices against your rates and your schedules

The AIOS reuses your usual line prices, splits materials from labour, applies the right VAT rate and works out the totals. It leans on your past quotes to recover your reference rates.

It lays out a quote ready to review

Detailed items, quantities, unit prices, payment terms and deposit: the document comes out in your layout, with your legal notices. You review, adjust a price if needed, and it learns the correction.

It sends and schedules the follow-up

The approved quote goes to the client by email in your tone, and the AIOS schedules a follow-up if the client stays silent. You keep control of the send, or let it handle that, whichever you decide.

A concrete example

You

Measure-up done at Mrs Renaud's: bathroom refit, 6 sqm, strip out the old one, floor and wall tiling, replace the shower, vanity unit, plumbing to redo. Draft the quote.

AIOS

Quote ready to review. 8 items priced against your 2026 rates: strip-out and removal, plumbing, floor tiling (6 sqm) and wall tiling (14 sqm), shower tray and screen, vanity unit, paint touch-ups, end-of-job clean. Materials and labour split out, reduced VAT (home over two years old), 30 percent deposit on order. Total: 7,480 euros incl. VAT. The PDF is in your inbox, ready to send to Mrs Renaud. Shall I schedule a follow-up at day 7 if there is no reply?

Frequently asked questions

Your questions, our answers.

Does it really know my prices?

It learns your rates from your past quotes: price per item, labour ratios, usual margins on materials. Its proposals look like yours from the very first tries, and lock in exactly with every correction you make.

What about materials whose price keeps moving?

You can give it an up-to-date price at quoting time (read off at your supplier or from a catalogue), or let it reuse your last known rate while flagging it. On sensitive items it marks the line for you to check before sending.

Is the quote compliant?

It follows the expected structure of a building quote: identification, itemised quantities and unit prices, materials and labour split, VAT by rate, payment terms, legal notices and validity period. You stay responsible for the final review, as today, but on a document that is already complete.
